This policy explains what data ReadyRoom collects, why, and what you can do about it.

1. What we collect

Account data. Your email address, name, and the company you're working on. We send a one-time code to your email to verify it.

Documents. The legal documents you upload (incorporation, equity, employment, board, IP) and the structured data we extract from them — parties, dates, amounts, equity events.

Usage data. Pages visited, actions taken, device and browser info, IP address, and timestamps.

We rely on (a) the contract to deliver the Service, (b) our legitimate interest in running and improving ReadyRoom, and (c) your consent for optional features.

4. Who we share data with

Your documents and extracted data are private to your workspace. We share data with vendors who help us operate the Service — hosting, email delivery, AI processing — under contracts that require them to protect it. We do not sell your personal data and we do not use your documents to train third-party models.

5. AI processing

Document text is processed by large language models to extract structured information and classify document types. Prompts and responses are retained for debugging and quality review, scoped to your workspace.

6. Retention

We keep your documents and account while your account is active. After deletion, we may retain limited records for legal, audit, or abuse-prevention purposes. You can request export or full deletion at any time.

7. Your rights

You can request access to, correction of, or deletion of your personal data through our contact form. EEA/UK and California residents have additional rights under GDPR/CCPA, including the right to object to processing.

8. Cookies and storage

We use cookies and local storage to keep you signed in and remember preferences. Analytics cookies are used to measure usage in aggregate.

9. Security

We use industry-standard safeguards — encryption in transit and at rest, scoped access, audit logging — but no system is perfectly secure. Report security issues through our contact form.

10. International transfers

ReadyRoom is hosted on infrastructure in the United States and the European Union. By using the Service you understand your data may be processed in those regions.

We may update this policy. Material changes will be announced via the Service or by email.
